OCAS Portal Login Upgrade

Information for college and high school partners

About the Upgrade

This fall, OCAS is upgrading the login platform for our partner-facing portals, bringing updated technology with improved security. As part of the upgrade, all partner accounts will be migrated.

We’re committed to ensuring the migration is a success and supporting our partners every step of the way. This page provides all the details you need to know about the migration and what you can expect. We’ll continue to add more information to this page as we approach the migration date.

What’s Changing?

The enhanced login platform will bring a new, more secure way to log in to the portals. To help you prepare, here’s a look at what will be changing:

  • Portal users will log in using their email address instead of their username
  • Users with access to multiple OCAS services can use the same email address (e.g., yourname@yourcollege.ca) to access both our domestic and international services
  • New login screen with a refreshed look
  • The first time you log in, users will need to create a new password and set up security questions
  • Users will have all the same permissions as before the migration

When’s it Happening?

All partner user accounts will be migrated on October 16. After this date, you’ll need to use the email address associated with your OCAS account to log in, instead of your username.

Who’s Affected?

The change will affect all college and high school partner users with access to the following OCAS services:

  • Domestic Partner Portal 
  • OCAS International Application Service (IAS) College Portal
  • Electronic Transcript Management Service (eTMS), including the Transcript Settlement Report

There will be no impact to accounts for the following OCAS services:

  • Domestic and international applicant accounts – already migrated in July 2020
  • Agent accounts for the OCAS IAS Agent Portal – already migrated in June 2021
  • OCAS Insights (Power BI) accounts – already uses email address as the log in credential
  • Data Warehouse (Cognos) accounts – log in functionality will remain the same

What Does This Mean For You?

After October 16, partner users logging into an OCAS service will use their email address instead of their username. The login screen will also have a slightly different look.

The first time you log in, users will need to create a new password and set up security questions. Once complete, users will be able to access our services with their existing roles and permissions.

What’s the Benefit?

The migration brings added security to our portals as we upgrade to Identity Server 4 and demonstrates OCAS’ commitment to using modern, secure technology solutions.

Going forward, the new login platform will allow us to provide enhanced login experiences for applicants, agents, or partners, including federation with a college system, social logins, or multi-factor authentication.


FAQ for College Partners

There will be no impact for domestic or international applicants. We migrated applicant accounts in July 2020. 

There will be no impact to international agents. We migrated agent accounts in June 2021.

For college partners using Microsoft O365:

You can log in to OCAS services using the same credentials you use to access Microsoft O365 services at your college. There’s no need to change your password.

For college partners not using Microsoft O365:

As part of the login platform enhancements, we’ve updated the password requirements for OCAS accounts to reflect recommendations from our recent security audit. We’ve also introduced a service that checks against frequently compromised passwords for added security.  

Please use a password that meets the following requirements: 

  • A minimum of 8 characters 
  • Includes a mix of uppercase letters, lowercase letters, numbers, and symbols (with at least 3 of these 4 character types) 
  • A strong password – we’ll check for frequently compromised passwords

If your existing password meets these requirements, you may continue to use it. 

Best practices for password selection are to choose a password that’s easy to remember, difficult to guess, and to vary your passwords across the different services you use. 

We’re adding security questions as part of the account creation process for all accounts managed by OCAS. These security questions will help our Contact Centre team verify a partner’s identity when they contact us for support, as well as provide additional protection for applicant information.

As part of the account migration, we’ll be deactivating accounts for users who haven’t logged into an OCAS service in the past year.

If you’ve recently logged into an OCAS service, but no longer require access, please contact our support team to let us know about your updated access needs. 

This change affects our partner-facing portals, including the Domestic Partner Portal (including eTMS) and the OCAS IAS College Portal. You’ll now use your email address to log into these services, instead of a username.  

There’s no change to accessing Data Warehouse (Cognos) and OCAS Insights (Power BI) reports. 

For those with access to Tier 1 CRM, there’s also no change to accessing this service.

Here’s an overview of why OCAS is upgrading the login platform for our partner-facing portals:

  • The upgrade brings added security to our portals and demonstrates our commitment to using modern, secure technology solutions.  
  • For colleges using Microsoft O365, using your existing credentials means you no longer need a separate account for accessing OCAS services. The Domestic Partner Portal (including eTMS), IAS College Portal, and OCAS Insights (Power BI) will all use this method. 
  • For colleges using an OCAS account, we’ve enhanced our password requirements and added security questions to your account. These security questions will help our support staff verify your identity when contacting us for help with accessing your account and provide an additional layer of security for applicant information. 
  • We’ve enhanced our password requirements and introduced a service that checks against frequently compromised passwords. These enhancements will apply to new accounts for applicants, agents, and partners managed by OCAS. 
  • Going forward, the new login platform will allow us to provide enhanced login experiences for applicants, agents, and partners, including federation with a college system, social logins, or multi-factor authentication.

For college partners using Microsoft O365:

Ensure you’re logging in using the same email address and password you use to access other Microsoft O365 services at your college (e.g., Power BI). Contact your college’s IT team if you need assistance with this password. 

Contact our support team if you continue to experience issues. 

For college partners not using Microsoft O365:

Ensure you’re logging in using the email address associated with your OCAS account. 

If you’re using the correct email address and still can’t log in, you’ll need to reset your password. 

If you continue to experience issues, please contact our support team.

You can activate your account by accessing the Domestic Partner Portal or OCAS IAS College Portal and entering your email address on the login screen. 

For college partners using Microsoft O365, log in using your college Microsoft O365 credentials and click the Accept button on the following screen to accept the permissions request.   

For college partners not using Microsoft O365, use the reset password link on the login screen to resend the activation email.

As part of the enhancement, usernames will become an email address. Only one account can be associated with an email address.  

Users with more than one OCAS account (e.g., 12345.smith and 23456.smith) will continue to have separate accounts for each high school or school board. You’ll need to use a different email address to access each of these accounts (e.g., smith12345@schooboard.ca and smith23456@schoolboard.ca).  

We’ve been in contact with school board representatives and those with multiple accounts to ensure each account is associated with its own email address.  If you have any questions, please reach out to our support team.
